Zoho CRM Configuration

All Zoho apps (except for Zoho Vault and Workdrive) to be displayed as menu tabs in the portal need to be integrated with the CRM. This includes setting up each Zoho product and syncing it with the CRM, deduplicating CRM contacts and verifying that your data and module relationships are accurate. This will ensure that the Contact record in the CRM is synced throughout the Zoho ecosystem.
 
In your Zoho CRM, navigate to the Marketplace  to review or setup integrations:

Zoho Sign needs to be installed from the All Marketplace section of the CRM (not from the Zoho section of Marketplace):

This extension adds or edits the following modules in the CRM to show Zoho signed documents as they relate to Contacts and Accounts.

The final step is to install the ZPortals extension in the CRM Marketplace. Note that part of the ZPortals CRM extension includes Workdrive automation. This works to create Account, Contact and Vendor Workdrive folders that can be displayed in the portal, 




The extension contains a portal registration URL and it can be populated with the website portal page parameters. It will look something like as soon as it's installed:

Once the portal page is created in the WordPress admin and a URL is generated, the extension settings can be edited to something like the page below:



Your Portal Registration URL should include the https:// and not have a trailing "/"

The portal invite email template contains a Web URL button with a CRM variable that pulls the value in the Extension Settings above:


 
When the button "Invite to Portal" is selected in a Contact record, two fields are updated-  an Auto Approved checkbox and the Portal Invitation Sent date field. A workflow rule is triggered on the field update of "Portal Invitation Sent" to send an email template (called New User Registration) to the User, inviting them to the portal. The email template can be found in Customization > Templates > Email tab.

A custom template email invite can be used in place of the standard one and a custom workflow that triggers on field update "Portal Invitation Sent" or any other Contact field update.

       

The extended Workdrive functionality of the ZPortals marketplace extension is as follows:

The extension add fields and workflow rules to populate the WorkDrive Extension Folder ID with the appropriate folder from the Workdrive - CRM Team Folder in Workdrive.


In addition to Leads, Contacts and Accounts, we have added this functionality to the native Vendors module. Note that Deals and Campaigns are not part of the functionality.


The extension adds a button on the list view of records from these modules to mass select and retroactively populate the Workdrive Folder ID fields and create the Team Folders in Workdrive at the same time. 


Zoho CRM will have a widget as a related list called “Files for Workdrive”:




The Workdrive component of the extension is optional. The setting can be revoked (or never authorized) in the event Zoho CRM has existing Workdrive automation and/or Workdrive will not be integrated in ZPortals:
