Whether you are using a Contact based or Account based portal, the User needs to exist as a Contact in Zoho CRM. This means that the Contact should not be duplicated in Zoho CRM and if it’s an Account based portal (Portal Type is Default) it has to be associated to an Account using the native Zoho CRM lookup relationship. If the Contact is deleted, the User will not be able to login to the portal.
If there is a match, the system will display additional fields below:
When a User is selected from the first drop down, the User Name will auto populate and you set the Password:
Use this option if you need to add users en masse. Download the template to the right, populate the columns as fields and upload it into “Import User Choose File.” Allow the import to finish, do not close or refresh while it is processing.
Note that the User will not receive an email invite and in order for them to access the portal, the Admin will need to use the “Send New Credential” button to the right of each of the Active Users:
This will trigger a WordPress email that contains their username and generic password.
Use this tab to manually add a User (and thereby a Zoho CRM Contact record) from scratch. Note that this will not trigger an email to the User but it will create a Contact record in Zoho CRM. If the Portal Type is set to Default, Account information fields will appear prompting the Admin to either create a new Account or add to an existing Account:
The existing account search field will match case Account records in the CRM and populate a drop down for selection:
The Create a new Account field will accept single line entry and the website information is not required. Note that the Account will not get created if the plugin finds an exact match of the Account Name in Zoho CRM.
